How to Request Changes the Right Way

Once your website content has been reviewed and approved, our team moves forward with development and coding. At that stage, the original content document (Google Doc) has served its purpose and is no longer an active working file.

When content edits are made inside an already-approved document after development has begun or after launch, it creates a breakdown in accountability and makes it impossible for our team to accurately track what was changed, where it was changed, or when those edits were made.

For example:
If multiple pages are edited inside a Google Doc after the site is coded, there is no reliable way for our team to identify which sections differ from the live site. This slows progress, increases the risk of missed updates, and can delay launch or revisions.

To avoid this, please follow the guidelines below.



Approved Content Documents Are Final

Once a content document is approved:

  • It becomes a historical reference, not a live editing tool

  • Any edits made to that document after approval cannot be used for accountability or revision tracking

  • Our team will not compare post-approval document edits against a coded website

This protects both you and our team and ensures your project stays organized and efficient.



The Correct Ways to Request Content Revisions

Option 1: Edit the Website Directly (Best Option)

Once your site is developed (and even after launch), you may log in with editor access to:

  • Adjust wording

  • Edit paragraphs

  • Fine-tune tone or phrasing

  • Make personal preference changes

This is the fastest and most precise way to make content updates, especially post-launch.



Option 2: Submit a New Google Document With Clear Instructions

If you prefer to submit content for our team to implement:

  • Create a new Google Doc

  • Clearly specify which page(s) and which section(s) should be replaced

  • Include the exact replacement text

Example of a clear request:

“Replace the first section on the homepage titled ‘Comprehensive Care’ with the following title and paragraph:
(Insert new title and paragraph here)

Please do not edit previously approved documents and resend them.



Option 3: Small Updates via Email or Visual Editor Tool

For minor changes such as:

  • Page titles

  • Headers

  • Button text

  • Short phrases

You may:

  • Email your changes to team@identitydental.com with clear explanations, or

  • Use our proprietary visual editor tool and have your point of contact mock up revisions

Please allow 3–5 business days for implementation.



Revision Scope & Best Practices

  • Your project includes up to 3 rounds of revisions within scope

  • We strongly recommend reviewing the entire site at once and submitting consolidated changes

  • This allows our team to be thorough, efficient, and fully supportive of your vision

Saying:

“Rewrite this paragraph to be better”

…is not a clear directive and will likely cause delays.

Saying:

“Replace this paragraph with the following content”

…allows our team to execute quickly and accurately.



A Note on Copy Editing & Expectations

We understand that most dentists do not enjoy copy editing — and that’s completely normal.

The good news:

  • Most websites only need a full refresh every 3–5 years

  • Spending about one focused hour reviewing your content is usually sufficient if tone matters to you

  • Personal input is valuable and encouraged

Also keep in mind:

  • Website visitors do not read your site like a book

  • Strategic repetition of messaging and calls-to-action is intentional

  • This structure improves usability and conversions



SEO Considerations

If you request a revision that may negatively impact SEO, our team will:

  • Explain the potential implications

  • Give you the option to revert or move forward

The final decision is always yours — we simply feel obligated to educate you on the trade-offs, especially when content becomes overly concise.
